What a good job description includes
Most disputes about "that's not my job" start with a vague description. A useful one is short, specific and written so that both sides read it the same way. It usually covers:
- General provisions — the job title, department, who the employee reports to and how they are appointed.
- Qualifications — education, experience and skills you actually need, not a wish list.
- Duties — the tasks the person does every week, written as actions: "prepare", "check", "approve".
- Rights — what the employee may request or decide to do the job.
- Responsibility — what they answer for if duties are not performed.
How to write the duties so they work
Write one duty per line in the form above. Start each with a verb and keep it concrete: "reconcile supplier invoices weekly" is better than "accounting tasks". Five to ten duties is enough for most roles. If a task happens once a year, it probably belongs in an instruction or an order, not here.
The generator turns your list into professional wording and may add two or three standard duties typical for the role. Read them and delete anything that does not fit your company.
Before you sign it
- Check that the job title matches the employment contract and the staff list exactly.
- Make sure the reporting line names a position, not a person, so you don't have to rewrite it when people change.
- Have the employee read and sign it, with the date. Keep the signed copy in their personnel file.
Frequently asked questions
Is a job description legally required?
It depends on the country. In many post-Soviet countries it is standard practice and often expected by inspectors; in the US and UK it is not mandatory but strongly recommended. Either way, a signed description is the easiest proof of what was agreed.
Can I use my company letterhead?
Yes. Choose "Company letterhead" above the form and upload your .docx or a PNG/JPG header. The text is placed into your letterhead with your logo and details intact.
In what language will the document be?
By default, in the language you type in. You can also pick the document language manually at the top of the page.
Is it really free?
Yes. The service is supported by advertising. There is a daily limit per user to keep it free for everyone.
