Which tone to choose
- Soft — a friendly reminder. Good for the first week of delay with a client you want to keep.
- Formal — states the facts, the overdue amount and a deadline to pay. Use it when reminders have been ignored.
- Firm — the formal letter plus a clear warning of court action, penalties and legal costs.
What makes a claim effective
Refer to the exact contract and the document that proves you delivered — the signed certificate of completion is ideal. Give a specific number of days to pay. Many contracts and national laws require a written claim before going to court, so send it in a way you can prove: by courier, registered mail with acknowledgment, or through an e-document system.
After you send it
Keep a copy and the proof of delivery. If the deadline passes without payment or reply, the claim and the signed certificate are the basis for the next step — negotiation, mediation or a lawsuit.
Frequently asked questions
Is a pre-trial claim mandatory?
In many countries and under many contracts, yes, for disputes between companies. Check your contract and local rules.
Can I calculate penalties here?
The letter mentions penalties provided by the contract and law, but does not calculate them. Add the calculation in the "Additional circumstances" field if you have it.
Can I make a claim from my service agreement?
Yes. On the result page of a service agreement, press "Write a claim for this contract" and the details are filled in automatically.
Will the letter be in the debtor's language?
Pick the document language at the top of the page, or type in the language you need — "Auto" follows your input.
